THE POSITION
The Director of Auxiliary Programs provides strategic leadership and operational oversight for all non-academic revenue-generating initiatives, including Summer Programs, Passport enrichment programs, Extended Day, music lessons, and facility rentals.
This is a strategic and innovative position focused on creating and sustaining a positive, inclusive, and collaborative culture with an emphasis on operational excellence. Responsible for program innovation, compliance, staffing, and community engagement, the Director also ensures that all auxiliary offerings are high-quality, financially sound, and align with the mission and values of Hawken School.

Reports to: Chief Financial Officer
Office Location: Lyndhurst Campus

ESSENTIAL DUTIES/RESPONSIBILITIES
  • STRATEGIC LEADERSHIP & VISION
    • Develop and implement a comprehensive strategic vision for Auxiliary Programs aligned with the school’s mission and long-term goals 
    • Identify opportunities for growth, innovation, and non-tuition revenue, building on the School’s reputation for delivering high-quality student experiences and physical assets
    • Evaluate program effectiveness using data and stakeholder feedback to guide continuous improvement
    • Build strong cross-departmental partnerships to support institutional priorities
  • PROGRAM DEVELOPMENT & MANAGEMENT
    • Design, implement, and oversee all auxiliary programs including Summer Programs, Passport enrichment programs, Extended Day, and facility rentals
    • Ensure programs deliver engaging, developmentally appropriate, and mission-aligned experiences
    • Establish annual programming calendars and oversee logistical planning across divisions
    • Provide executive oversight of daily operations including registration systems, enrollment management, and customer service standards
  • FINANCIAL & OPERATIONAL OVERSIGHT
    • Develop and manage annual budgets for all auxiliary programs
    • Establish pricing strategies to ensure competitiveness and revenue growth
    • Monitor revenue performance, receivables, deposits, and financial reporting in partnership with the Business Office
    • Oversee the integrity of registration systems, including CampBrain management, account setup, billing oversight, and reconciliation processes
    • Analyze enrollment trends and financial data to inform forecasting and strategic planning
  • STAFF LEADERSHIP & TALENT MANAGEMENT
    • Recruit, hire, train, supervise, support, and evaluate all auxiliary program staff including seasonal summer employees
    • Develop clear performance expectations and accountability measures
    • Oversee onboarding processes in collaboration with Human Resources, including compliance documentation, background checks, and payroll setup
    • Foster a culture of professionalism, safety, collaboration, and growth in the department
    • Provide direct supervision to auxiliary administrative staff and delegate operational responsibilities appropriately
  • MARKETING & COMMUNITY ENGAGEMENT
    • Lead the marketing and promotion of auxiliary programs to internal and external audiences
    • Collaborate with the Marketing team to develop strategic messaging, marketing, and enrollment campaigns
    • Cultivate relationships with families and community partners to increase program visibility, participation, and satisfaction
    • Serve as the primary ambassador for auxiliary programs, ensuring an exceptional customer experience and responding to escalated matters
    • Oversee the development of newsletters, promotional materials, and program communications
    • Conduct annual surveys for program components, seeking to understand and improve the perception and impact of auxiliary programs
  • SAFETY, COMPLIANCE, & RISK MANAGEMENT
    • Establish and maintain health, safety, and risk management protocols for all programs
    • Ensure compliance with local, state, and federal regulations
    • Oversee allergy management procedures, attendance tracking, dismissal protocols, and emergency preparedness plans
    • Coordinate with school leadership to secure appropriate facilities and ensure safe program operations
    • Maintain documentation and reporting systems aligned with institutional and regulatory standards
  • SUMMER PROGRAMS LEADERSHIP
    • Provide strategic oversight for all summer offerings, including the Day Camp program, Passport Summer camps, and Summer Studies courses
    • Approve and evaluate new camp proposals and partnerships
    • Ensure proper financial tracking of deposits, receivables, and weekly account monitoring
    • Oversee efficient staffing models, recruiting, hiring, employment agreements, and training personnel
    • Lead coordination of summer logistics, including rosters, arrival and dismissal procedures, field trips, and on-campus activities
  • QUALIFICATIONS
    • Bachelor’s degree in education, business, organizational leadership, or related field required
    • Minimum of 5 years of progressive leadership experience in program management, camp administration, youth programming, or auxiliary operations
    • Demonstrated success managing budgets and revenue-generating initiatives
    • Strong entrepreneurial mindset with strategic planning experience
    • Exceptional organizational, analytical, and problem-solving skills
    • Excellent written and verbal communication skills
    • Experience with registration platforms such as CampBrain and proficiency in Microsoft Office and Google Workspace
